  DEFINITION OF POSITION: The Benefits Manager is employed on a full-time basis with responsibility and combined authority to oversee all Company benefits. Serves as subject matter expert and oversees the benefits and payroll systems processes that impact the enrollment and administration of employee benefits. Uses detailed knowledge of benefits processes to assist in the daily functions of the sponsored programs of the Employee Benefits Department, including but not limited to 401(k), group insurance, education assistance, leaves of absence and time-off benefits. Serves as liaison with HR department to highlight and correct issues including, but not limited to hire, enrollment, payment collection and processing, arrearages and status changes and terminations. Works on special projects involving the same. Performs system entry support for special functions; assists and instructs Company employees as required. The Benefits Manager supports the Objectives and Philosophy of the company.   Responsibilities:
  • Works with the Payroll department to enforce compliance with Company policies and procedures related to employee benefits. Supplies information, reports, individual notification and/or other means necessary to alert locations to issues and helps them work through to resolution.
  • Stays up to date on payroll and benefits systems functionality, processes, capabilities and changes; attends meetings and trainings as needed
  • Looks for opportunities to improve and streamline functions and processes, both manual and automated.
  • Annually updates and develops departmental procedures documentation for this position.
  • Performs benefits system entry support for processes as needed and as assigned such as audit reporting clean up, special paper enrollments, deduction arrearage corrections, changes and refunds and court verifications.
  • Responsible for reviewing and processing qualified medical court support orders and HIPPA requests, working with the various Company business leaders, applicable agency or courts to resolve efficiently and timely.
  • Supports ACA medical plan compliance activities working with outside ACA and eligibility and enrollment vendors including monitoring of arrears for PT/PRN ACA eligible employees.
  • Responsible for completion of internal and external benefits related survey requests.
  • Assists HR department in resolving employee benefits problems; refers them to proper HR policies and procedures and resources when appropriate; works closely as liaison with vendors and clinic locations.
  • Assists with testing of 401K and benefits enrollment and payroll systems prior to open enrollment and upon changes during the year.
  • Supports benefit communications mailing activities as needed.
  • Refers to summary plan descriptions or benefit summaries for retirement and health & welfare plans.
  • Provides timely, accurate and appropriate customer service response.
  • Coordinates unusual and complex issues and questions with supervisor or appropriate benefits administrator; follows-up with appropriate response.
  • Participates in appropriate vendor calls and escalades/communicates updates to the HR Director on frequent basis.
  • Provides supervision and leadership development to Benefit Specialist on daily plan administration, auditing, Leave of Absence and Educational Assistance as needed.
    EDUCATION, SKILLS AND EXPERIENCE:   Minimum Qualifications
  • Bachelor’s degree required.
  • Five+ years in the benefits field with strong customer service orientation, verbal and written skills, intermediate employee benefits and payroll knowledge, excellent organizational and time-management skills, proficiency in PeopleSoft, ADP, Ceridian, Microsoft Office required, specifically Word, Outlook and Excel.
  • Knowledge of state and federal laws pertaining to all types of leaves of absence, including ADA, FMLA and Worker’s Compensation, a plus.
